1. About these terms

These terms and conditions govern all training services provided by First Aid Training On Site ("we", "us", "our") to the organisation or individual making a booking ("the client", "you"). By requesting a quotation, confirming a booking, or making payment, you agree to be bound by these terms.

We reserve the right to update these terms from time to time. The version published on this website at the time of your booking confirmation applies to that engagement. Nothing in these terms affects your statutory rights.

2. Quotations & pricing

All prices quoted are in pounds sterling and are exclusive of VAT. VAT is chargeable at the prevailing rate and will be itemised on your invoice. Standard course fees are published on this website on a per-course basis, covering the delivery of training for up to 12 learners unless otherwise agreed in writing.

Written quotations provided by email or in writing are valid for 30 days from the date of issue. We reserve the right to amend a quoted price after this period, for example where your requirements change or where our supplier costs are revised. Verbal estimates are indicative only and are not binding.

Where a course listing shows "from £X", the confirmed price will depend on factors such as learner numbers, course combination, or travel requirements. We will always confirm the final price in writing before you commit to a booking.

Travel and accommodation costs may be added for locations that require overnight stays or extended travel. Any such costs will be quoted separately and agreed in advance.

3. Bookings & payment

A booking is confirmed once you have received a written booking confirmation from us. You may be asked to sign a booking form or provide a purchase order number for invoicing purposes.

Payment is due within 14 days of the invoice date, or prior to the training date if the training is scheduled sooner. We accept payment by bank transfer (BACS) or credit/debit card. Details will be provided on the invoice.

We reserve the right to decline or postpone a booking if payment has not been received by the agreed date. Where a booking is confirmed and an invoice issued, the full course fee remains due in accordance with the cancellation policy set out in section 6 below.

4. What's included

Each course booking covers the following:

  • Delivery of the confirmed course by one of our experienced instructors, at your chosen premises within the UK.
  • All course materials required for the day, including printed delegate workbooks or handouts where applicable.
  • Relevant certificates or attendance records for each learner who successfully completes the course, issued in accordance with section 7 below.
  • Training for up to 12 learners per course, unless a higher number has been agreed in writing prior to the booking confirmation. If additional learners join on the day without prior agreement, we reserve the right to either charge for the additional places or limit participation to the agreed number.

The following are not included unless specifically agreed: first aid consumables for the client's own stock, printed first aid manuals retained by the client beyond the training day, or post-course follow-up assessments beyond those intrinsic to the qualification itself.

5. Client responsibilities

To allow training to run smoothly and safely, the client agrees to the following:

  • Suitable venue. You will provide a room or space at your premises that is appropriate for the number of learners attending. The space should have adequate lighting, ventilation, and enough clear floor area for practical exercises. For practical first aid courses, a hard floor or firm mat area is preferable.
  • Access & set-up time. You will ensure that your instructor has access to the training space at least 30 minutes before the course is due to start, to allow for equipment set-up. Any delay to the start time caused by access issues may reduce the available training time.
  • Equipment access. Where a venue has a defibrillator (AED) on site and you would like it to be used during training, you are responsible for making it available and obtaining any necessary permission for its use in a training context.
  • Learner attendance. You are responsible for ensuring that the confirmed learners are present at the agreed time and are aware of the nature and duration of the course they are attending.
  • Health & safety. You will inform us of any relevant health and safety requirements or restrictions at your premises, including any visitors' procedures, prior to the training date.
  • Special requirements. You are responsible for informing us in advance of any learner who has a disability, health condition, or other requirement that may affect their participation, so that reasonable adjustments can be discussed.

We accept no liability for delays, reduced training time, or disruption caused by the client's failure to meet these responsibilities.

6. Cancellations & rescheduling

We understand that circumstances change. The following notice periods apply:

  • More than 14 days' notice: You may cancel or reschedule your booking at no charge. Any deposit paid will be carried forward to the rescheduled date, or refunded in full if you cancel.
  • 7 to 14 days' notice: A cancellation fee of 50% of the course fee is payable. Rescheduling (to a date at least 7 days in the future) may be offered at our discretion without additional charge.
  • Fewer than 7 days' notice: The full course fee is payable. This reflects the fact that we will have incurred preparation costs and may be unable to allocate the slot to another client at short notice.

Notice of cancellation or rescheduling must be given in writing (by email to [email protected]). The notice period runs from the date the written notification is received by us.

Cancellation by us. In the unlikely event that we need to cancel a booking — for example due to instructor illness or an event beyond our control — we will give you as much notice as possible and offer either a full refund or a rescheduled date at your preference. We will not be liable for any consequential losses arising from a cancellation made in good faith.

7. Certification & validity

Certificates are issued only to learners who attend the full course and satisfy the learning outcomes or assessment requirements of the relevant qualification. Partial attendance does not entitle a learner to a certificate.

Where a course is accredited by the First Aid Industry Body (FAIB), certificates are valid for three years from the date of issue. Where a course is awarded by Qualsafe Awards (an Ofqual-regulated awarding organisation), the certificate validity and conditions are as stated in that qualification's specification.

For CPR, AED/Defibrillator, and Basic Life Support courses, a Certificate of Attendance from First Aid Training On Site is issued upon completion. These certificates are not regulated qualifications; they confirm attendance and participation.

It is the client's responsibility to keep records of certificate expiry dates and to arrange timely requalification for their staff. We are happy to remind you when certificates are approaching their renewal date if you request this service.

Replacement certificates may be requested in writing. A small administration fee may apply.

8. Liability

We carry appropriate public liability and professional indemnity insurance for the training services we provide. Details are available on request.

Our liability to you in connection with any booking shall not exceed the total fees paid by you for that booking. We shall not be liable for any indirect, consequential, or economic losses arising from the provision or non-provision of our services, including but not limited to loss of productivity, business interruption, or failure to achieve a regulatory outcome.

First aid training equips learners with skills and knowledge; it does not guarantee a specific outcome in a real emergency. We accept no liability for how trained individuals respond to an actual first aid incident after completing a course with us.

Nothing in these terms limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other matter that cannot be excluded or restricted by law.

9. Governing law

These terms and conditions are governed by and construed in accordance with the laws of England and Wales. Any dispute arising in connection with these terms that cannot be resolved by agreement between the parties shall be subject to the exclusive jurisdiction of the courts of England and Wales.
